Executive Secretary, Administrative Services
POSITION TITLE: Executive Secretary, Administrative Services
LOCATION: Central Office (Administrative Services)
REPORTS TO: Director of Administrative Services
SUMMARY: Provides administrative support to the Director of Administrative Services by processing and maintaining accurate school/student records and completing other tasks requiring processing and analysis of student data, including residency, student enrollment, transportation, free and reduced lunch programs and related projects.
ESSENTIAL DUTIES AND RESPONSIBILTIES: (Some or all of the following duties and responsibilities may apply.)
- Serves as confidential secretary to Director of Administrative Services;
- Assists in general administrative operations and responsibilities as assigned;
- Develops reports and performs complex data analysis tasks using spreadsheet and database programs (e.g.MS Excel, MS Access, Google Apps, Infinite Campus), as needed;
- Screens new student enrollees for residency requirements;
- Maintains the State of Connecticut Student Registration database for the Madison Public Schools;
- Prepares reports for the State and Federal Departments of Education, as required. Contacts the State and Federal Departments as needed;
- Processes student withdrawal, academic and immunization records;
- Supports transportation program for the district. Utilizes bus routing software (Versatrans)
- Works with Transportation vendor to develop and maintains bus routes, assign bus stops and update existing transportation data, as needed;
- Schedules the routing of all buses to and from schools, homes and alternate transportation request for all public school students and all authorized private school students;
- Resolves transportation issues with transportation service company;
- Works with outside transportation services to resolve variances and scheduling issues with schools, parents or day cares;
- Provides support for departmental projects including the development of bids, RFPs, reports and presentations;
- Processes and verifies confidential applications for free and reduced lunch program for students. Advertises program, as required;
- Answers telephone calls, responds to routine questions, takes messages and routes calls to appropriate personnel, as appropriate;
- Operates office equipment such as copiers, calculators, computers and fax machines;
- Maintains current information and knowledge of school district operations;
- Maintains confidentiality in accordance with Board of Education policy.

SUMMARY:
Provides administrative support to the Assistant Superintendent and Director of Administrative Services in the editing and preparation of Curriculum Guides and input, maintenance and analysis of student data.

- Works closely with the Assistant Superintendent of Curriculum, Instruction, and Assessment and Program Coordinators for a subject area in the preparation of a revised Curriculum Guide;
- Utilizes advanced word processing skills to prepare the Curriculum Guides;
- Assists in the development of curriculum survey documents for students and staff;
- Works with student data management at the administrative level;
- Utilizes advanced data/spreadsheet skills to analyze student data;
- Assists the Executive Secretary to the Assistant Superintendent with professional development events and data support;
- Assists the Executive Secretary for Student Data and Transportation with maintenance and analysis of student data and transportation software;
- Coordinates the receipt and distribution of information and materials among certified staff within a curriculum subject area;

Central Office Receptionist
POSITION TITLE: Central Office Receptionist

REPORTS TO: Director of Administrative Services and Director of Human Resources
SUMMARY:
Serves the Central Office staff by answering telephones, greeting visitors, scheduling meeting rooms, coordinating mail room, office supplies and preparing general correspondence. Management of health care, delivery of health care, delivery of health services and prevention of disease, advocating for the health rights of students, addressing the health concerns of students with their families, staff and health care providers.
ESSENTIAL DUTIES AND RESPONSIBILTIES: (Some or all of the following duties and responsibilities may apply.)
- Responds to health problems including but not limited to:
- Direct care: illnesses, injuries, emergencies, administration and supervision of medication during the school day, on field trips and intramural and interscholastic sports;
- Chronic health concerns: Physical neglect and abuse, Sexual abuse, Substance abuse, Nutrition, Mental health concerns, Adolescent pregnancy, Personal hygiene, Sexually transmitted diseases;
- Crisis situations: As a member of the Crisis Team;
- Collects and analyzes comprehensive student health care data including but not limited to immunizations, history/physical examination findings as well as mandated screenings for vision, hearing, scoliosis and mental health issues;
- Identifies appropriate nursing diagnoses and develops Individual Health Care Plans and Emergency Health Care Plans for identified students. Collaborates with the staff, student, family and health care provider at meetings or in writing;
- Identifies measurable expected outcomes of Individual and Emergency Health Care Plans and evaluates progress towards achievement;
- Coordinates health care delivery in the school environment. Assesses health care concerns, plan interventions, evaluation and nursing documentation. Coordinates health care services acting as liaison with parents, health care providers, school personnel, school nursing coordinator, school administration and medical advisor;
- Prepares and maintains health office including inventory and requisition of supplies as appropriate;
- Assists with monitoring student attendance and tardiness;
- Provides health education to students, staff and community population. Oversees staff compliance with required health-related training(s). Coordinates health services with community health programs through participation in classroom activities related to health and environment;
- Consults with educational and administrative staff in the development of health care policy;
- Evaluates own nursing practice in relation to professional standards and guidelines relevant to the Board of Education policies and Connecticut statutes and regulations. Updates professional knowledge by regular participation in educational or in-service programs.
